Background Information

Microsoft Teams provides instant messaging and online meeting functionality. Teams will open automatically when you log in to your network account. This Job Aide will assist in setting up Voicemail and Out of Office options in Teams.

You will need to use a computer with a microphone to record a voicemail greeting for Teams.

Recording a Voicemail Greeting

To record a voicemail greeting, follow the steps below:

  1. Open the Teams client on the computer.
  2. Select the ellipse icon (triple dots) beside your user icon and select “Settings.” This will open the Settings Menu.
  3. Select “Calls” from the left-hand navigation pane.
  4. Under the Voicemail section, select “Configure Voicemail” to open the Voicemail menu.
  5. Select “Record a Greeting.”
  6. Teams will automatically start an audio call with a menu tree that includes a dialpad. When prompted, select “2” from the dialpad to access the Greetings Menu.
    1. To record your Personal Greeting, select “1” and follow the prompts to complete the process.
    2. To record your Away or Out of Office Greeting, select “2” and follow the prompts to complete the process.
  7. From the main menu of the audio call:
    1. Select “1” to review all your voicemail greetings.
    2. Select “*” to exit.

Out of Office Voicemail Greeting & Options

Teams has options to automatically play your Out of Office greeting when your Outlook calendar has an Out of Office event posted. Follow the steps below to set up this option:

  1. Follow steps 1 through 4 outlined in the previous section.
  2. Scroll to the bottom of the page. Under “Out of office greeting,” check the box for the third option of “When I have an Out of office calendar event.”
  3. Select OK.
