Background Information

The Look and Feel of Outlook has changed a bit. This Job Aide will review features you will see in your day-to-day use.

Color Theme

There are three Color Themes available in Outlook. Options include: White, Colorful, and Dark Grey. You can change the Color Theme to provide more contrast in the Outlook environment. To change a color theme:

  1. Click the File Tab in the Outlook Ribbon.
  2. In the left-hand panel, select Office Account.
  3. In the Account section, click on the Office Theme drop-down to select a new Color Theme.

Please Note: Outlook does have a lighter, brighter interface.

Reading Pane

The Reading Pane in Outlook is a handy feature if you like to browse emails quickly. It also provides an extra level of security when suspicious emails make their way into our Inboxes. Rather than double-click each email to open and view, select an email in the Inbox panel, view in the Reading Pane, and reply, forward, or delete as needed.

Conversation View

Conversation View allows you to group email conversations with the same subject line in your inbox.

  • The example shown in the attached pdf displays emails related to the Microsoft Account Security subject line in Conversation View. All emails are outlined as a group under the main header.
  • To activate Conversation View: Navigate to the View Tab > Messages section > Check Conversation View.

In-Line Reading

In-Line Reading is a new view, which keeps reply and forward messages within the Reading Panel, rather than a pop-up window. There is a Pop-Out option available in case you need the Message Ribbon Options.

Click Discard to cancel the reply/forward and return to the original message.

​​​​​​Outlook Options

Use the icons in the lower left corner of the Outlook home screen to toggle between Mail, Calendar, People, and Tasks.

Use the “…” (ellipsis) to pull up Notes, Folders, Shortcuts, and Navigation options.

Peek View

Outlook has a new display feature called Peek. Peek allows a user to hover over the options in the lower left corner of the screen – Calendar, Tasks, etc., and see a preview of the item.

The screenshot within the attached pdf displays the Monthly Calendar (Today’s date is highlighted), and appointments for the day. Peek view is pulled up by hovering the mouse cursor over the Calendar icon.
