UKG - Attendance Disciplinary Action

     Background Information

When a Team Member has an attendance event such as a tardy or absence that requires a disciplinary action, the incident will need to be recorded in UKG. The following Job Aide will display the steps necessary to record an “Attendance Disciplinary Action” if one was issued to a Team Member.

Access and Use

Please note, this Job Aide is functional to Manager level and above.  Non-Management will not be able to complete these functions.

Receiving and Saving an Attendance Disciplinary Action

  1. As a people manager, you will receive an email when a Team Member has accumulated enough points to have triggered an attendance disciplinary action.
  2. Open the attached attendance policy document from the email.
  3. Print the document and have both the Team Member and manager sign the document.
    • NOTE: IF THIS IS A TERMINATION, TEAM MEMBER RELATIONS WILL ALSO RECEIVE A NOTIFICATION. PLEASE HAVE TEAM MEMBER RELATIONS APPROVE AND COORDINATE THE TERMINATION PROCESS BEFORE MEETING WITH THE TEAM MEMBER.
  4. Scan and email the signed document to yourself.
  5. Save the document; this will be uploaded to UKG.

Recording an Attendance Disciplinary Action in UKG

  1. Log into UKG.
  2. Select the hamburger icon in the upper left corner of the screen to open the menu.
  3. Select My Team -> Team Members.
  4. Select the name of the Team Member who has received the Attendance Disciplinary Action.
  5. From the Employee Profile dashboard, select the HR tab.
  6. A left side menu/column appears. Scroll down and select Incidents.
  7. From the Incidents section of the dashboard, select +Add to add an incident.
  8. An Add Incident window appears. Under the Incident Type drop down menu, select Attendance.
  9. Select Save.
  10. An Incident has been created. From the Incident dashboard, select the paper clip icon to attach the signed Attendance Disciplinary Action you previously saved.
  11. A Supporting Documents window appears. Select Choose.
  12. Navigate to the location of your saved Attendance Disciplinary Action in Windows File Explorer. Select the file. Then, select Open.
  13. Select Save.
  14. An Incident Info window appears. Click into the Violation field or select the Browse icon to select “Attendance.”
  15. Fill out the Incident Date (date of the occurrence), leaving the time section to a defaulted time.
  16. Fill out the Report Date (date when you met with the Team Member regarding the Attendance Disciplinary Action), leaving the time section to a defaulted time.
  17. Leave all remaining sections blank.
  18. Scroll down to the Resolution section. Click into the Resolution field or select the Browse icon.
  19. Select the appropriate resolution type that was issued to the Team Member.
  20. Select Submit at the top of the Incident page.
  21. To return to the submitted incident from the UKG Homepage, select the notifications bell icon in the upper right corner.
  22. Select “go to” to navigate to the submitted incident.
