Background Information
When sending e-mail messages in Outlook, users can set properties for each specific message. The following Job Aide instructions can be used to change these settings on an e-mail before it is sent out. In some cases, this can be done from the Options tab of an e-mail. In other cases, you can open the Message options window to make changes.
Email Options
After opening a new email message, the “Options” tab is available. Click this tab to view all available options.
Voting Buttons
Voting buttons can be added to messages that require quick yes/no responses. They can also be customized to require different responses.
- Select the “Use Voting Buttons” drop down under the Options tab to choose from various options.
- Customize voting buttons by selecting “Custom…”
- Create a poll by selecting “Poll.”
Smart Replies
Smart replies allow senders of messages to specify who receives replies to the message.
- Select the “Direct Replies to” button under the Options tab to open the options menu.
- In the Delivery Options section, choose who will receive the replies by selecting “Select Names.”
- Double-click names to add them to reply field. Select Close.
- Send message.
Delivery & Read Receipts
Delivery and Read Receipts can be selected under the Tracking tab of “Options.” Such receipts are used to track confirmation that a message was delivered successfully, and that the message was read by the desired recipient(s). Click either or both options when sending a message.
Delayed Messages
Delayed messages are for users who want to delay when a message will be sent. When using this option, messages will not be delivered until the user-specified date and time.
- Select the “Delay Delivery” button from the Options tab. The Message Options window will open.
- Set the desired date & time for the message to be delayed. Choose from:
- “Do not deliver before…”
- “Expires after…”
- Select Close.
- Send message.
