Visual One - PBX

Background Information

This Job Aid outlines the tasks a PBX Operator is responsible for in Visual One.

Logging Into Visual One

  1. Double-click Visual One icon on desktop
  2. Click Casino Arizona
  3. Type your I.D. (same as network logon)
  4. Type your password
  5. Press the Log On button (or Enter on your keyboard)

Looking for a Guest

  1. Login to Visual One
  2. From the main menu, press Guest Services
  3. Press the Guest Stay Search button 
  4. Type in the Guest’s last name in the Last Name field
  5. Press Enter on your keyboard
  6. A list of matching entries will be displayed at the bottom of the window
  7. Click on a guest name and the extension will be displayed in the Room Extensions field
  8. To close the search, press the Door button 

Leaving a Text Message for a Guest

  1. Login to Visual One
  2. From the main menu, press Guest Services
  3. Press the Guest Stay Search button 
  4. Type in the Guest’s last name in the Last Name field
  5. Press Enter on your keyboard
  6. A list of matching entries will be displayed at the bottom of the window
  7. Click on a guest name from the list at the bottom of the screen
  8. Press the Messages button (thumbtack)
  9. Press the Add New Record button
  10. Type your message
  11. Press the Save button
  12. Press the Delivered check box
  13. To exit the screen, press the Door button
  14. If prompted, press Yes to save changes

Running a Guest List by Name Report

This report should be run at the beginning of your shift, and then once in the middle of your shift.

  1. Login to Visual One
  2. From the main menu, press Guest Services
  3. From the Reports menu, select Other Reports, then select Guest List Reports, the click Guest List by Name
  4. Press the double arrow pointing to the right
  5. Press the Process Print Options button, this will open the Report Print Options window
  6. Verify that the printer name is correct
  7. Press the Print button

Running a Guest List by Room Report

This report should be run at the beginning of your shift, and then once in the middle of your shift.

  1. Login to Visual One
  2. From the main menu, press Guest Services
  3. From the Reports menu, select Other Reports, then select Guest List Reports, the click Guest List by Name
  4. Press the double arrow pointing to the right
  5. Press the Process Print Options button
  6. Press Yes when prompted to Print In-House Group Master Folios Only, this will open the Report Print Options window
  7. Verify that the printer name is correct
  8. Press the Print button

Logging Off of Visual One

  1. Press the Log Off/On button during a break or at the end of your shift
  2. If it’s the end of your shift, press the Quit button from the logon window
