Outlook - Mobile App - Using Outlook Mobile App on Android Devices

Background Information

Adding Outlook Mobile App to a mobile device will allow users to access, read, reply, and use company email from a Mobile device while on or off company property, while connected to a mobile service provider or WiFi.  This Job Aide walks through the steps to set up the Outlook Mobile App on an Android device. 

Removing Exchange

If you currently use Exchange on your mobile device, you will experience various error notifications and other issues asking for passwords after you’ve been migrated to Exchange Online.  For the time being, your calendar, contacts, and email will all error and your password will not work.  You will need to remove Exchange before downloading the Outlook Mobile App.  The following steps should be followed prior to adding Outlook to your phone.

  1. From the home screen of your phone, Tap your mail app.
  2. In the top right of the screen tap the “Exchange” icon, and on the google accounts pop up, Tap “Manage accounts on this device”.
  3. On the “Accounts” screen, Tap your current exchange account.
  4. On the “Exchange” screen, Tap “Remove Account”.
  5. A pop up will appear asking for a second confirmation of removal.  Tap “REMOVE ACCOUNT”.

Downloading Intune Company Portal App on Android

In order to download and use the Microsoft Outlook App on your phone, you must first have the Intune Company Portal App downloaded to your phone.  Follow these steps to assure you have the app downloaded before proceeding. 

  1. Open the Google Play Store app by tapping the Google Play Store Icon
  2. Search “Intune Company Portal” in the search section.
    • Note - If Intune Company Portal is installed, you’ll see an option to open.  If that’s the case skip the remainder of this section and proceed to “Downloading Outlook Mobile App on Android Device”.  Otherwise please proceed to step 3.
  3. Tap on the “Install” button next to the app information.
  4. When the App is finished downloading tap “Open”.
  5. Intune will ask you to allow Notifications.  Tap “Allow”.
  6. At the Company Portal screen, tap “Sign In”
  7. Enter your Windows account username + @casinoaz.com (Ex: ChristopherV@casinoaz.com) in the “Email” section, and Tap “Next”.
  8. Enter your Windows account password and tap “Sign In”.
  9. You will be given a two digit code to authorize this sign in with y our Microsoft Authenticator App.  Open Authenticator and approve the sign in using the two digits you’d received.  Once Authorized return to the Outlook App.
  10. Intune will request a setup for the device.  Tap “POSTPONE”. 
  11. At the Postpone Setup pop-up, tap “OK”.
  12. Close the Intune app, you’ve completed the necessary steps.

Downloading Outlook Mobile App on Android Device

Using the camera app on your phone, scan the following QR Code.  This will open the Microsoft Outlook Mobile App in your Google Play Store.

  1. On the Microsoft Outlook Page, tap “Install”.
  2. When the app has completed downloading, tap “Open”.
  3. A pop-up will appear asking if you want to allow notifications.  Tap “Allow”.
  4. On the Welcome to Outlook screen, tap “Add Account”.
  5. Enter your Windows account username + @casinoaz.com (Ex: ChristopherV@casinoaz.com) in the “Email” section, and Tap “CONTINUE”.
  6. Enter your Windows account password and tap “Sign In”.
  7. You will be given a two-digit code to authorize this sign in with your Microsoft Authenticator App.  Open Authenticator and approve the sign in using the two digits you’d received.  Once Authorized return to the Outlook App.
  8. At the Add Another Account screen, tap “Maybe Later”.
  9. Outlook will ask you to create a pin to access the app.  Create a 4-digit pin and enter it into the app, and tap Done.
  10. The next screen will ask you to confirm the pin created.  Re-enter the pin you’ve created for the app and tap Done.
  11. You will see you E-mail populate to the app.  You have completed the download and setup process.

Saving Contacts to Your Phone From the Outlook App

To save your Outlook Contacts to your Android Contacts App follow these steps:

  1. To sync your contacts to your phone, you first need to give Outlook permission to access your contacts.  Start by tapping the “Settings” Icon on your phone.
  2. In the Settings screen, scroll down and tap “Apps”.
  3. Scroll down through your Apps until you find “Outlook” and tap it.
  4. On the App info screen, tap “Permissions”.
  5. On the App permissions screen, tap “Contacts”.
  6. On the Contacts permission screen, tap the button next to “Allow”.
  7. From your home screen, open the Outlook App.
  8. In the Outlook App, tap the “profile icon” in the top left corner of your screen.
  9. From your profile, tap the “settings” gear icon in the lower left corner of your screen.
  10. In the settings screen, tap your Microsoft account listed under “Mail Accounts”. 
    • Note – Your account is identified by your Microsoft account address including the “@casinoaz.com”
  11. In the Account info screen, locate the “Sync contacts” option and tap the toggle switch to on.
  12. Your Outlook contacts will then download to your Android “Contacts” App.
