Background Information
You may need to share a file directly from OneDrive when additional settings are needed. This job aide will list the steps to share files, and set an expiration date for a file link.
Share a File in OneDrive
- Navigate to the OneDrive screen and select My Files in the upper left corner.
- From the My Files screen, select the file to share or select a file within a folder. To select a file, click on the file name, or click the selection bubble to the left of the file.
- Click Share in the Navigation Toolbar at the top of the screen.
- Add a recipient name or email address to the To: field and click Send or copy the link and share through email or Teams Chat.
Set an Expiration Date on a File Link
You may need to set an expiration on a file link you’ve shared with others. Please keep in mind, once a link is expired, it cannot be unexpired - the file must be shared with the user again.
- Navigate to the OneDrive screen and select My Files in the upper left corner.
- From the My Files screen, select the file to share or select a file within a folder. To select a file, click on it or click the selection bubble to the left of the file.
- Click Share in the Navigation Toolbar at the top of the screen.
- In the Send Link settings window, open the Link Settings by clicking the text on your screen that matches the text shown in the screenshot below.
- The Expiration Date option will only appear in the Link Settings window once the first option – Anyone with this link – has been selected.

Click Anyone with this link, and set the expiration date. Click Apply.
- In the Send link window, do one of the following:
- Add the names or email address of the recipients in the To: field. Click Send.
- Copy the link and paste it into an email or Microsoft Teams message.
NOTE: Shared files and/or folders will not appear in the Shared page of OneDrive immediately. It may take up to ten minutes for the application to sync data.
