Background Information
The Tokenworks IDVisor Sync Web Portal is the web-based version of the application where users can access reports, settings, and other features. This Job Aide describes how to navigate and use the Tokenworks IDVisor Sync Web Portal.
The Dashboard
The Dashboard is the home screen and is the launch point for all functionality of the IDVisor application. It displays a visual representation of the recent scan data. When users log into the Sync Portal, they will be greeted with the Dashboard, which shows the recent scans in graphical format.
At the top of the screen is the Navigation bar with drop-down menus for the most accessed functions.
In the upper right corner of the home screen is the name of our server. If selected, users can switch to any additional servers (Tenants) that have access to.
Reports
Selecting Reports from the Navigation bar opens a drop-down menu that includes:
- Scans
- Matched Tag Lists
- Watch Tag Lists
- Photos
Scans
The Scans page displays a list of stored scans. Select each entry line to display a detailed informational panel on the right side of the screen. Select items and additional drop-down menus, such as Photos, to load more information.
Select the Live button to review the most recent scans, or select the Filter button to filter scan results based on time frame, location, scanner or an individual’s name.
After choosing your filtering settings, select Fetch to generate the report.
Users can export a selected scan list as a CSV file using the Export button.
Matched Tag List
The Matched Tag List allows users to examine the scans by Tags. Filter the list of tagged scans by date range, quantity, or specific tag or individual names. To toggle between the list of scans and the filter criteria menu, select the filter icon next to the Match Tag List label.
Watched Tag List
The Watched Tag List allows users to create Watch Tags. Watch Tags are used in conjunction with the Matched Tag List. For example, users can set a Last Name and a DOB. All future scans that match these two criteria will be then tagged by this Watch Tag and added to the Matched Tag List.
Users can also import a Watched Tag file. To import a Watched Tag file, create and save a file as a CSV. Also, use the following format:
- Do not include a header row
- Separate each row with a new line
- Add the following columns in this sequence:
- Last Name
- First Name
- Document ID Number (Driver’s License Number or Passport Number)
- DOB in the format: YYYYMMDD or YYYY-MM-DD
- TagNote (can’t contain commas)
- TagExpiration in the format: YYYYMMDD or YYYY-MM-DD
- TagCode
Photos
Photos allow users to examine photos taken by the ID Scanner and relevant systems. Users can use easy access date buttons, such as last weekend, or choose calendar dates to examine the available photos in the system.
Settings
Selecting Settings from the Navigation bar opens a drop-down menu that includes:
- Tag Labels
- Scanners
- Locations
Tag Labels
Tag Labels displays a list of all available Tags in the system. Users can also add new Tags. To edit or delete an existing Tag, click on the row to display a menu to the left of each entry. To add a new tag, include the following criteria:
- An icon
- An expiration date
- Enable an SMS alert when a tagged customer is scanned
- Enable an email alert when a tagged customer is scanned
- Set the Tag as silent so a pop up does not display when a tagged customer is scanned. This will still allow SMS or email alerts to be sent out
Scanners
Scanners displays a list of all active Scanners in the system. Users can edit each individual scanner on the list by clicking on the entry in the list. Accessible fields include the password for each scanner, the location, description and name.
Add a new Scanner by selecting the Add button.
To delete a Scanner, click on the entry and select the Trash Can icon displayed on the left. A confirmation window appears for this action.
Location
Location displays a list of the locations of each Scanner. Click on an entry to display action buttons to edit, delete or reset a location counter. Add a location by selecting the Add button.
