Background Information

Full-time is defined as working an average of at least 30 hours per week. Team members can monitor their hours to determine if they meet this threshold. This Job Aide reviews the process of monitoring team member hours in UKG to determine average hours worked in a given date range.

Monitoring Hours in UKG

  1. Log into UKG.
  2. Select the Hamburger Icon to access the Main Menu.
  3. Select My Information and then, My Timecard.
  4. Select Current Pay Period dropdown menu.
  5. Click Select Range.
  6. Enter or select a Start Date and an End Date, such as the previous pay period.
  7. Select Apply.
  8. Select Totals at bottom of screen.
  9. Locate the total hours worked plus PTO for the selected date range under the Pay Code column titled LV – All Hours Worked and PTO. The column to the right is the Amount column which reflects the hours worked for each code.
    • The example in the attached pdf shows a total of 80 hours and 21 minutes worked.
  10. To get the average hours worked, take the total hours worked and PTO hours, then divide by the number of weeks.
    • 80.21 total hours worked / 2 weeks = 40.11 average hours worked per week.
  11. An additional example that calculates average hours worked Year-to-Date (YTD) is as follows:
    • Date Range: 10/20/2024 – 10/18/2025
    • YTD for Date Range: 52 weeks total
    • Hours towards PTO: 1395 hours and 6 minutes.
      • This number includes Regular Hours + PTO + Unscheduled PTO Hours, and therefore, is the most accurate number to use when calculating average hours worked YTD.
    • To get the average hours worked, take Hours towards PTO (1395.06) and divide by 36 (YTD week):
      • 1395.06 / 36 = 38.75 average hours worked per week

NOTE: Goal for benefits eligibility is 1560 hours minimum; an average of 30 hours weekly.
