iTrak - Creating Vendor Badges

Background Information

The iTrak incident tracking system is intended to allow the Security, Surveillance, and HR departments to create and monitor casino incidents. This system can also issue vendor badges for visiting vendors. The following Job Aide will instruct you on how to create vendor badges in iTrak.

Creating a Vendor Badge

  1. Log into the iTrak system.
  2. Select Visitor Management from the left navigational column.
  3. Select New Visit from the top navigational ribbon.
  4. A Visit Information window opens.
  5. Select the Visit Start and Visit End date fields to update the dates of the visit.
  6. From the Location drop-down menu, select the location of the visit.
  7. From the Visit Status drop-down menu, always select Accept.
  8. Within the Hosts section, select Add Host.
  9. A Person Search window opens:
    • Returning Hosts
      • Enter the name of host in the search bar and select the magnifying glass icon to search.
      • Select the host’s name row.
      • Click Select.
      • A Warning window appears. Select OK.
  10.  Within the Visitors section, select Add Visitor.
  11.  A Person Search window opens:
    • Returning Visitors
      • Enter the name of the vendor in the search bar and select the magnifying glass icon to search.
      •  Select the vendor’s name row you are searching for.
      • Click Select.
    • New Visitors
      • If you cannot locate a vendor, skip to “Creating a New Visitor in iTrak” section below before returning to these steps.
    •  From the Badge drop-down menu, select Vendor (30 Days or Less).
    •  Select Save in the upper left corner of the Visit Information window.
    •  Select Close from the top navigation ribbon and the created visit is now listed at the top of the screen.

NOTE: Create New Visits for every vendor. Do not search for a vendor in the Visitor Management home page search bar. Follow the steps above to accurately search for a vendor.

Printing a Vendor Badge

  1. Select a visit to open the Visit Information window.
  2. Select the visitor’s name row.
  3. Within the Visitors section, select Print Badge.
  4. A Badge Form window appears, then a print preview window appears. Select Cancel from the preview window.
  5. Select the floppy disk & clipboard icon to export a report and show it in a new window (located to the left of the drop-down menu).
  6. Select the print icon and print as normal.

Creating a New Vendor in iTrak

  1. From the iTrak home page, select Subjects from the left navigational column.
  2. Select New from the navigational ribbon. A New Subject Profile window appears.
  3. Select Scan from the navigational ribbon. A Scanner window appears.
  4. Once a valid ID is placed in scanner, select Scan Image from Scanner window.
  5. Select Create Profile and Visit button at bottom of screen. Information from the ID is automatically added to the New Subject Profile.
  6. On the General tab of the New Subject Profile, enter required information in appropriate fields (First Name, Last Name, Company, Race, and Gender).
  7. Select the Details tab.
  8. Verify information from scanned ID appears correctly on the Details tab.
  9. Select Done.
  10.  Return to step 12 of the “Creating a Vendor Badge” section.
