Crestron - Chaparral Computer Lab - Setup Guide

Background Information

The Crestron Touch Panel can be used to connect directly to Microsoft Teams Meetings or can be connected via the instructor computer or your own device to share content on the projector. The following Job Aide details how to properly set up an in-room meeting, Teams Meeting, or your own presentation using the Crestron System.

In Room Meeting Setup - Projector

  1. From the Crestron Touch Panel Home Screen, select Room Controls.
  2. Select Displays.
  3. Select Power. The button should be Red, indicating the projector is off. The button should turn Green once Power is selected.
  4. The projector will beep. The power light on the projector will also turn Blue, indicating it has powered on.

In Room Meeting Setup - Display

For in-room meetings only, the Instructor’s Desk PC should already be selected to display on the projector screen. If there is no image or a blank screen, follow these steps:

  1. From the Crestron Touch Panel Home Screen, select Room Controls.
  2. Select Displays.
  3. Select Video Conference.
  4. The PC image should now appear on the projector screen.

If you see the Crestron image on the projector screen with the CAZITLAB name, follow these steps to switch it to the PC image:

  1. From the Crestron Touch Panel Home Screen, locate the Share button.
    1. If the button displays Share with an up arrow, select this button to share the Instructor’s PC screen.
    2. If the button displays Stop Sharing with an “X,” verify the HDMI cable is connected.
      1. Behind the Instructor’s PC, ensure the grey HDMI cable is connected to the black HDMI adapter.

In Room Meeting Setup - Audio Controls

If you have video with audio and the volume needs to be adjusted, or if you’re unable to hear any audio, follow these steps to enable audio:

  1. From the Crestron Touch Panel Home Screen, select Room Controls.
  2. Select Levels.
  3. The “Room” controls for video playback audio are displayed. Adjust the level by pressing the plus or minus buttons, or by sliding the control bar up or down.
  4. Mute audio if needed by selecting the Mute button.
    1. If the Mute button is pink, the audio is NOT muted.
    2. If the Mute button is red, the audio is muted.

NOTE: For in-room meetings only, you should not need to adjust the in-room microphone levels.

Teams Meeting - Projector

Follow the same steps listed in the In-Room Meeting Setup – Projector section, if needed.

Teams Meeting - Setup New Teams Meeting

To set up a new Teams Meeting, follow these steps:

  1. From the Crestron Touch Panel Home Screen, select Meet Now. This will launch a Teams Meeting.
    1. NOTE: The host name of your Teams Meeting is “Resource – Chaparral Computer Lab.” The Crestron Touch Panel will display this name.

Teams Meeting - Display

The Teams Meeting should start with the in-room Instructor PC already being shared on the projector.

If the Teams layout with the Attendee Bar at the bottom is already showing, proceed to the Inviting Attendees section.

If the Teams layout is not showing the Attendee Bar at the bottom of the screen, follow these steps:

  1. From the Crestron Touch Panel Teams screen, select the ellipses icon (three dots icon).
  2. Select Room Controls.
  3. Select Displays.
  4. Select Video Conference. The Teams layout should now display correctly on the projector.

Teams Meeting - Inviting Attendees

To invite Casino Arizona Team Member attendees to a Teams Meeting, follows these steps:

  1. From the Crestron Touch Panel Teams screen, locate the Search Bar in the upper right corner with the prompt “Invite someone or dial a number.” This can be used to find and invite other Casino Arizona Team Members via Teams directly.
  2. Select the Team Member’s name or phone number to invite.

To invite non-Team Members or staff to a Teams Meeting, follow these steps:

  1. From the Crestron Touch Panel Teams screen, select the ellipses icon (three dots icon).
  2. Select Meeting Info.
  3. A pop-up message appears. Provide the Meeting ID and Passcode to non-Team Members so they can join the meeting. If they want audio only, non-Team Members can call the provided phone number.

Teams Meeting - Joining an Established Meeting

To join an established Teams Meeting with the Crestron Touch Panel, follow these steps:

  1. From the Crestron Home Screen, select Join with an ID.
  2. Using the touch panel keyboard, enter the Meeting ID and Meeting Passcode.
  3. Select Join Meeting.

Using Your Own Laptop

To use your own laptop to present, follow these steps to bypass the Teams System.

NOTE: Using your own device will not allow the use of the room’s Teams System which includes the room audio and cameras.

  1. Power on the projector by following the steps in the “In Room Meeting Setup – Projector” section.
  2. Locate the HDMI cable labeled as Spare on the instructor’s desk. Connect it to your laptop; this will connect your laptop to the projector directly.
  3. Locate the projector remote and select Menu.
  4. On the projector screen, the projector menu will appear defaulted to the Source tab.
  5. Using the remote’s arrow buttons, select HDMI 2.
  6. Select Enter on the remote. Your laptop screen will now appear.

Camera Controls

If an in-room camera’s position needs to be adjusted, adjust the controls by following these steps:

  1. From the Crestron Touch Panel Home Screen, select Room Controls.
  2. Select Cameras.
  3. Select the camera that needs to be adjusted: Front Camera or Back Camera.
    1. Front Camera is located on the projector screen side of the room.
    2. Back Camera is located by the entry door of the room.
  4. Adjustment buttons explained:
    1. Home Icon – this will reset the camera to its default position.
    2. Up & Down Arrows – used for camera tilt.
    3. Right & Left Arrows – used for camera rotation.
    4. Zoom In & Out Icons – used for zooming features.
    5. Numbers 1-4 are camera position presets.

Projector Screen Control

If you need to lower or raise the projector screen, use the switch on the wall next to the instructor’s desk to do so. The screen will auto stop at the appropriate levels for each direction.
